The University Club of Pasadena is seeking an experienced Clubhouse Manager to help lead the daily hospitality experience of our historic private club. Founded in 1922, the Club has long served as a gathering place for professionals, scholars, and community leaders in Pasadena. Today, we are entering an exciting new chapter of renewal with improvements to our facilities, expanded programming, and renewed energy among our membership.

Position Overview

The Clubhouse Manager oversees the daily operations of the clubhouse including front-of-house service, member dining, event execution, and facility coordination. Reporting directly to the General Manager/CEO, this individual will lead the clubhouse team while ensuring smooth, efficient operations and exceptional service standards.

This role combines hands-on hospitality leadership with strong operational management. The Clubhouse Manager works closely with the culinary, membership, and events teams to create a seamless member experience across all areas of the Club.

The ideal candidate enjoys leading from the floor while also developing systems and processes that support exceptional hospitality.

Key Responsibilities

Member Experience

  • Serve as a visible ambassador of hospitality for the Club
  • Build meaningful relationships with members and guests
  • Ensure service standards consistently reflect the Club’s culture and values
  • Proactively address member concerns and service opportunities

Team Leadership

  • Lead and develop the Front-of-House and clubhouse operations teams
  • Recruit, hire, onboard, and train hospitality team members
  • Conduct regular team meetings, coaching, and performance evaluations
  • Foster a positive, collaborative culture focused on service excellence

Event & Banquet Operations

  • Oversee event execution from sales hand-off through completion
  • Ensure accurate execution of Banquet Event Orders (BEOs)
  • Coordinate staffing, floorplans, timelines, and service logistics
  • Conduct pre-shift meetings and oversee event service teams
  • Ensure weddings, private events, and club programs meet high hospitality standards

Clubhouse Operations

  • Manage daily clubhouse service operations
  • Coordinate with culinary, membership, and facilities teams
  • Maintain operational systems and service standards
  • Monitor inventory and supply needs

Financial Management

  • Manage labor scheduling and staffing levels
  • Review payroll submissions and timecards
  • Monitor departmental budgets and report variances
  • Collaborate with finance leadership on forecasting and planning

Human Resources

  • Recruit and onboard new team members
  • Ensure team members receive training in Club standards and hospitality practices
  • Support a professional, respectful, and positive workplace culture

 

Qualifications

Experience

  • 5+ years leadership experience in a private club, luxury hotel, resort, or high-end restaurant environment
  • Demonstrated success managing events, dining service, and clubhouse operations
  • Proven ability to build and develop strong hospitality teams
  • Experience managing labor costs and operational budgets

Skills

  • Hospitality leadership and service culture development
  • Event and banquet management
  • Team development and coaching
  • Operational planning and systems management
  • Strong communication and organizational skills

Additional language skills are a plus.

 

Work Environment

Hospitality leadership requires flexibility and presence.

This role may require:

  • Standing and walking for extended periods
  • Lifting up to 50 pounds occasionally
  • Working evenings, weekends, and holidays as required by Club operations and events

 

Compensation

Salary Range: $75,000 – $90,000 depending on experience.
